HR Operations Specialist

We’re looking for an HR Operations Specialist to join our People team and support the full employee lifecycle through reliable systems, streamlined processes, and service-oriented execution. This role is key to ensuring our HR operations run smoothly – powering everything from onboarding to benefits and travel coordination.

Responsibilities

HR Administration & Systems Management

  • Maintain and regularly update employee data in HRIS (e.g. PeopleForce), ensuring accuracy, compliance, and data integrity
  • Administer system structure, permissions, templates, and integrations
  • Generate HR and cross-functional reports and dashboards for HR, Finance, and leadership teams
  • Support documentation workflows and audits; maintain up-to-date internal resources (policies, templates, guides)

Onboarding & Offboarding

  • Coordinate the end-to-end onboarding process: documentation, welcome kits, access setup, and checklists
  • Manage offboarding workflows: deactivation of systems, and equipment return
  • Ensure smooth collaboration with stakeholders across departments during employee lifecycle transitions

Automation & Process Optimization

  • Build and maintain automated HR workflows (approval chains, email triggers, task tracking)
  • Monitor and improve process efficiency through task management tools like Jira, Monday.com, and ATS platforms
  • Contribute to continuous improvement of employee experience and internal HR projects

Benefits & Vendor Coordination

  • Oversee employee benefits administration (health insurance, MultiSport, Cibus card)
  • Act as a liaison with external providers (insurance, wellness, language courses) to ensure high-quality service delivery
  • Support employees with benefit-related inquiries and claims

Travel & Event Logistics

  • Organize travel arrangements for employees and guests, including flights, hotels, visas, and necessary documentation
  • Ensure logistics comply with internal travel policies and budget guidelines

Collaboration & Internal Support

  • Provide operational support to HRBPs, recruiters, finance, and operations teams
  • Track SLA performance and task completion across systems

Requirements

  • 1–3 years of experience in HR Operations, Administration, or People Ops
  • Proficiency in HRIS platforms (PeopleForce, BambooHR, etc.) and automation tools (Zapier, Make, Power Automate)
  • Strong skills in Excel/Google Sheets and task tracking platforms (Jira, Asana, Monday)
  • Upper-Intermediate or higher level of English
  • Exceptional attention to detail, strong organizational skills, and a proactive, service-oriented mindset

Will be a plus

  • Basic knowledge of labor laws (Ukraine / Poland / EU)
  • Experience supporting global teams or scaling HR operations
  • Familiarity with ATS, CRM, or ERP systems
