HR Administrator

Newxel is searching for an organized and proactive HR Administrator to join our team. We are looking for someone who has a keen eye for detail, enjoys working in a dynamic environment, and can effectively manage HR processes. This role is essential in ensuring smooth HR operations, from managing employee records to coordinating travel arrangements. Responsibilities

Employee Records Management

  • Maintain accurate and up-to-date employee records in HR systems, including new hire paperwork, personal data changes, and terminations
  • Ensure data integrity and confidentiality of employee information in compliance with company policies and data protection regulations

Onboarding and Offboarding

  • Facilitate the onboarding process for new employees, including collecting required documents, organizing orientation sessions, and ensuring new hires have necessary tools and resources
  • Handle the offboarding process, including exit interviews, return of company property, and final paperwork

Benefits Administration

  • Assist with the administration of employee benefits programs, such as health insurance, retirement plans, and leave management
  • Serve as a point of contact for employee benefits inquiries and assist in resolving any issues

Policy and Procedure Management

  • Support the development and implementation of HR policies and procedures
  • Communicate company policies and ensure employee understanding and compliance

HR Metrics and Reporting

  • Prepare HR-related reports, such as turnover rates, leave balances, and recruitment metrics
  • Monitor HR metrics and provide data to assist in decision-making

Travel Arrangements

  • Coordinate and book travel for employees and clients, including flights, accommodation, transportation, and any other travel-related needs
  • Ensure that travel plans align with the company’s travel policy and budget guidelines
  • Prepare and manage travel documentation, including itineraries, tickets, hotel confirmations, and visas
  • Assist travellers with passport and visa applications when required, ensuring timely processing and compliance with regulations

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or a related field
  • Proven experience in an administrative role, preferably within an HR department
  • Proficiency in HR software (e.g., HRIS) and MS Office (Excel, Word, PowerPoint)
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to handle sensitive information with confidentiality
  • Strong ability to manage details and ensure accuracy in documentation and record-keeping
  • Positive, approachable, and skilled at engaging with employees at all levels
  • Able to address employee concerns and escalate issues when necessary
  • Skilled at prioritizing tasks and managing multiple responsibilities efficiently
  • Knowledge of HR policies and labour laws is a plus
